# Working with Records

### The Records Table

Records fill a scrollable data sheet that loads more rows as you scroll. Each row is one record and opens its detail page on click.

The default columns are:

* **Record ID**, the system-generated identifier
* **External ID**, an optional identifier from your external system
* **Created At**, the time the record arrived

Every custom attribute on the stack appears as an extra column.

### Searching

The search bar finds records by external ID. Results update as you type.

### Sorting

Click **Sort** in the toolbar to flip between ascending and descending order. Flapjax remembers your choice per stack.

### View Settings

Click **View Settings** to control which columns appear and how they sit.

The popover lets you:

* **Show or hide columns** by ticking or unticking any column
* **Reorder columns** by dragging the grip handle next to a column name
* **Set a default column** with "Set Default", which pins it to the left of the sheet
* **Select All / Deselect All** to show or hide every column at once
* **Add attribute** to create a new stack attribute without leaving the page
* **Reset** to return columns to their default arrangement

Click **Apply** to save. Your settings hold per stack.

### Creating a Record

Click the **New \[record name]** button in the top-right corner. A form opens with:

* **External ID**, an optional identifier from your external system, up to 255 characters, unique inside this stack
* **Attribute fields**, one per attribute on the stack, matching that attribute's data type such as text, number, date or person

Required attributes need a value before you can save. Turn on **Create more** in the footer to keep the form open and add several records in a row.

### Editing a Record

Click any record in the table to open its detail page, then click **Edit** in the header. The creation form reopens with the current values filled in. Make your changes and save.

**Note:** editing works on **Items** and **Signals** stacks. **Events** turn read-only once created.

### Deleting Records

Open the actions menu, the three dots on a record's detail page, and select **Delete**. Flapjax asks you to confirm before removing the record permanently.

You can delete records in bulk too. See Batch Actions below.

**Note:** deletion works on **Items** and **Signals** stacks. **Events** cannot be deleted.

### Batch Actions

Select one or more records with the row checkboxes, or use **Select All** to target every record matching your current filters. A floating action bar appears at the bottom of the screen with the count.

Select-all still lets you untick individual rows. The bar shows the exclusion count, hovering it lists the excluded records, and Flapjax applies those exclusions server-side. The action then runs against everything matching the filter except those rows.

Large runs report progress in a toast. That toast also appears when the same action started in another tab or came from another user.

The action bar offers:

* **Update Attributes**, changing attribute values on the selected records in bulk
* A **More** dropdown with:
  * **Export**, downloading the selected records as a CSV file
  * **Delete**, removing the selected records permanently

### Import & Export

The **Import / Export** dropdown in the top-right corner offers:

* **Import CSV**, uploading a CSV file to add records in bulk. See the Importing & Exporting guide.
* **Export CSV**, downloading every record matching your current filters
* **Export selected as CSV**, downloading only the rows you selected

A loading indicator runs as Flapjax prepares the export file.
